Most Long Island businesses considering this migration have already had it quoted at least once. The question is whether anyone inventoried what is connected to your current environment or just counted mailboxes and multiplied.
If the quote came back before anyone asked about your on-premises Exchange dependencies, or your last migration wrapped and the finance team is still working out of a shared PST on a file server, that is not a Microsoft problem. That is a provider problem.

Companies without one get the migration run end to end, with the environment documented before we hand it over.
There is a regional reason to get this right. A nor’easter takes power out on the South Shore and an on-premises Exchange server goes dark with it, along with every application that relays mail through it. Moving mail, files, and identity into Microsoft 365 removes that single point of failure, but only if the migration accounted for everything that depended on the old server. That is what the assessment is for.

I’d like to share a review for Zoha Abdul-Mannan who assisted with our printer issue yesterday. She was incredibly knowledgeable, professional, and patient throughout the entire process. Almost every Long Island client who brought us in after a difficult migration described one of the six situations below. In most cases the previous provider handled the part they scoped competently. The damage came from everything adjacent to it that never made the plan.
Mailbox count is the easiest number to price and the least useful one to plan against. The work is determined by what authenticates against your current directory, which multifunction printers and line-of-business systems relay mail through your Exchange server, and which applications have licensing bound to the environment you are leaving. That inventory should exist before a price does.
Every long-running environment accumulates archives on laptops, shared mailboxes that turned into filing systems, and public folders holding something one department still needs. Deciding what migrates, what gets archived under a retention policy, and what gets retired is a business decision, and it has to be made before cutover rather than discovered during it. Archives, contacts, and calendars move with the mailbox when the plan says they do.
Cutover is where the risk concentrates. Weekend go-lives fail because nobody is staffed for the recovery and the first person to notice is a user on Monday morning. Phased waves, a tested rollback path, and staffed coverage during each window are what make a migration a non-event for the people in your building.
Recreating access manually is how a migration quietly turns into an audit finding. Group structure, shared mailbox delegation, folder permissions, and conditional access policy all need to carry over deliberately, with MFA enforced at go-live rather than promised as a follow-up project that never gets scheduled.
Warehouse staff, knowledge workers, and executives rarely need identical licenses, and the difference compounds every month for years. Right-sizing at migration is the only time it costs nothing to get right. Doing it afterward means a renegotiation nobody has time to schedule.
A tenant nobody uses properly is a licensing expense, not a productivity gain. If Teams, SharePoint, and OneDrive were provisioned but never structured or explained, people default to what they know. Governance and hands-on training are what separate a completed migration from a successful one.
Not all providers are built the same, and migration work attracts firms that price the easy part. Here is how our approach addresses what usually goes wrong.

When an escalation needs Microsoft directly, partner status determines how quickly you reach an engineer rather than a queue.
We assess what connects to your current environment before committing to dates. You get the inventory, the risks, and the decisions you need to make, and then a schedule. A timeline produced before that assessment is a guess with a date attached.
Your pod includes the technicians and account manager who ran the migration, and they work out of Wantagh. Nobody hands you off to a support queue that has never seen your tenant, which is where most migration relationships end and most post-migration problems begin.
Ongoing management is month-to-month for qualified new clients. If you want the migration only, that is a defined project with a defined end and a fixed fee set after the assessment. You are not signing a multi-year agreement to get a competent cutover.
Assessment. We inventory mailboxes, archives, public folders, shared resources, distribution groups, mail-enabled applications, relay dependencies, and current licensing. You get a written findings document with the decisions that need making and what each one costs.
Design and scope. Tenant architecture, identity model, licensing plan, retention and compliance policy, and the SharePoint and Teams structure your departments will actually work in. Scope and fee are fixed here, in writing.
Pilot. A representative group migrates first, including at least one power user and one person with a complicated setup. Problems surface on ten people rather than two hundred.
Phased cutover. Users move in waves, scheduled around your operating hours, with rollback planned in advance and coverage staffed during each window. Your team is told what changes, when, and what to do if something looks wrong.
Deployment and training. Conditional access and MFA enforced, Teams and SharePoint structured and governed, devices enrolled, and hands-on training for your staff so adoption starts at go-live rather than six months later.
Post-migration review. Thirty days out we review ticket patterns, licensing utilization, and adoption, and adjust. Most migration providers are gone by this point.

A new tenant is at its most exposed the week it goes live, when permissions are fresh, policy is incomplete, and users are being asked to authenticate in unfamiliar ways. That is also when phishing attempts impersonating “the IT migration team” tend to arrive. MFA enforcement, conditional access policy, external sharing controls, and email authentication go in at cutover rather than afterward. Most companies don’t call us because a migration failed outright. They call because the last one technically finished and still left the team working around it. We’ve picked up plenty of half-finished tenants, and the handoff is ours to run, not yours.
