Why architecture firms are difficult for a generalist provider

A project architect opens the central model at 8:40 and waits. A drawing set goes out to the contractor and it is the version from Tuesday. The workstation that renders is the one everybody queues for. A team member is locked out of the document management system ten minutes before a client presentation.

None of these are exotic failures. They are the ordinary friction of running design software over a network that was specified for email and spreadsheets.

An architecture practice looks like a professional services firm on the invoice and nothing like one on the network. Three things make it different, and they compound.

File size and file behavior. Design and coordination files are large binaries that get opened, held, and written back, often by several people against one central model. That is a fundamentally different traffic pattern from a firm that lives in documents and email, and it punishes latency, undersized links, and storage that was chosen on price per terabyte.

Project-based collaboration with people outside the firm. Consultants, engineers, contractors, and clients all need access to some subset of a project and none of the rest. Access organized by department breaks immediately. Access has to be organized by project, and it has to be revoked when the project closes.

Licensing complexity. Design software is expensive, licensed per seat or per named user, and frequently over-purchased because nobody owns the reconciliation. It is also the line item a principal is most likely to be asked about and least likely to have current numbers for.

Generalist providers handle all three poorly, not out of incompetence but because none of them show up in a firm that runs on Office and a file server. A provider who has not thought about the central model, the render queue, or the license count will treat the whole environment as ordinary infrastructure and be surprised by it every quarter.

The IT Problems Architecture Firms Actually Call About

Ordinary Friction, Not Exotic Failures.

The Model That Will Not Open

The Drawing Set That Went Out Stale

The One Machine That Renders

Locked Out Before the Client Presentation

it support for architects

The file problem: large models, many hands

Where project files live decides how fast the firm works.

The practical failure is rarely a total outage. It is degradation nobody escalates: the model takes four minutes to open instead of forty seconds, so people open it once in the morning and work stale. Or two people work the same drawing from different folders and the coordination happens in a meeting instead of in the file.

What has to be right underneath:

  • A single authoritative location per project, with the folder structure enforced rather than suggested. Version conflicts are almost always a structure problem wearing a technology costume.
  • Storage and network sized for the actual file behavior, not for headcount. A firm of thirty people moving large models can generate more sustained load than a firm of two hundred moving documents.
  • Access organized by project, provisioned when someone joins the project and removed when they leave it, including outside consultants.
  • Backups that have been restored, with the restore tested and the test date recorded. A backup nobody has restored is an assumption.

The full scope sits on our Microsoft 365 management page.

Workstations, rendering, and the machines that do the work

Design workstations are production equipment. They are also the most common place a firm loses hours it never counts.

Two patterns are worth naming. The first is the workstation that was adequate two software versions ago and is now the reason a task takes half a day. The second is the one machine that renders, which the whole studio schedules around.

Neither is solved by buying the most expensive hardware available. Both are solved by knowing what is deployed, what it is capable of, and when it will stop being adequate. WheelHouse IT builds a lifecycle plan for hardware and software so replacement lands in a budget rather than in an emergency, and reviews it with you in a recurring strategic business review.

For firms that would rather not manage a fleet of high-specification desktops, virtual desktops are one option. Whether they fit depends on the workload, and graphics-heavy design work is the case where the answer is most often “it depends” rather than yes. See Azure Virtual Desktop.

Software licensing and the cost nobody reconciles

Most firms cannot produce a current count of who holds which design license.

That gap costs money in both directions. Seats sit assigned to people who left. Meanwhile someone who needs a license waits, because nobody can confirm there is a spare. At renewal the firm either pays for last year’s headcount or spends a week reconstructing the truth from memory.

The fix is unglamorous: an accurate inventory of licenses and assignments, maintained as people join and leave rather than rebuilt at renewal, and surfaced where a principal can look at it.

The same discipline applies to Microsoft licensing, where WheelHouse IT takes a specific position. Client organizations hold their own Microsoft tenant and licensing in their own name. Standard Microsoft licensing is priced at Microsoft’s rate with no markup, and Azure consumption is priced separately. A provider who holds your tenant under their own account turns that into leverage the day you want to leave. It is a fair question to ask any provider you are evaluating.

Working from the site, the client office, and home

Architecture is not desk work. Site visits, client meetings, and consultant offices all mean someone needs the project from somewhere other than their monitor.

The requirements are ordinary and the execution is where firms get let down:

  • Remote access that performs well enough to be used rather than worked around
  • Conference room wireless and video that holds up during a client presentation, which is the moment a failure costs the most
  • Identity and access management so a person’s access follows their role and ends when the role does, without a password reset becoming a ten-minute delay before a meeting
  • Mobile devices managed rather than assumed

These are the professional services pain points we see most often: people locked out before client presentations, deliverables scattered so a client receives the wrong version, video calls dropping during meetings, and the same connection failure every Monday morning.

Security and the client data your firm holds

An architecture firm is not usually thinking about itself as a target. It holds building drawings, site information, client financial arrangements, and in some cases documentation for government or institutional projects.

WheelHouse IT approaches this in layers, and each layer has a job:

  • Managed detection and response on endpoints, monitored continuously rather than reviewed after the fact
  • Network segmentation so guest wireless in the conference room and the machines holding project data are not on the same network
  • Identity and access management, which is also the control that fixes the lockout problem above
  • 24/7 monitoring from an internal Network Operations Center, staffed by WheelHouse IT employees and never outsourced overseas
  • Backup and recovery, tested rather than assumed

WheelHouse IT has completed a SOC 2 examination, audited against AICPA standards by an independent CPA firm. That means an outside auditor examined the security controls WheelHouse IT runs internally, which is a different thing from describing them.

On incident response, the process is isolate, restore, document. No provider can promise a recovery outcome, and one who does is describing a hope rather than a procedure. The full scope sits on our managed cybersecurity services and security and compliance pages.

What working with WheelHouse IT looks like

Every client is assigned a pod, which is the dedicated support team that owns the account. The same engineers and the same named team manager, month after month, rather than whoever is next in a queue.

Reaching the team works four ways: phone, email, the ticket portal, and Microsoft Teams. Behind all four is the 24/7 internal Network Operations Center. Our measured average call wait is 52 seconds, our measured average ticket resolution is 29.6 minutes, and customer satisfaction runs over 95%. These are reported averages from our own service data rather than service-level targets.

Our platform shows open tickets, project status, onboarding and offboarding progress, and environment health in real time, so you are not asking for a status update on a Monday.

The rest of the picture: 60+ IT professionals across the Fort Lauderdale, New York, and Orlando offices, clients in 18+ states and Puerto Rico, and fixed monthly pricing. New client agreements run month to month, with no multi-year commitment.

WheelHouse IT is ranked No. 50 on the 2026 Channel Futures MSP 501, an independent ranking based on audited operational and financial data with no payment to apply or place. This is the seventh consecutive year on the list.

If you have an internal IT person already, that arrangement is co-managed IT services and runs as one of two programs. Comprehensive means every user reaches WheelHouse IT directly. Foundational means your internal team stays the face of IT while WheelHouse IT owns infrastructure and security behind them.

Frequently Asked Questions

Do you support design and BIM software?

We support the infrastructure design software depends on: the storage and network the models live on, the workstations the software runs on, the licensing and identity behind access, and the backup and recovery underneath it all. Application-level support for a specific design platform depends on the platform, so ask us about yours directly and we will tell you plainly whether it is in scope. That is a better answer than a list of logos.

Access follows the person’s role rather than their location, enforced through identity and access management with multi-factor authentication. Location is the wrong thing to build security around, because a firm’s work happens away from the office by nature. Devices are managed rather than assumed, project data sits in a controlled location rather than on local drives, and endpoints carry managed detection and response monitored from our internal Network Operations Center.

Usually both, in that order. Slow is a symptom, and it is worth knowing whether the cause is the machine, the network path to the files, the storage, or the software configuration before anyone spends money on hardware. We inventory what is deployed and identify what is actually limiting the work. Where replacement is the answer, it goes into a lifecycle plan with a date and a budget rather than becoming an emergency purchase.

Yes. The starting point is an accurate inventory of what you hold and who has it, maintained as people join and leave rather than reconstructed at renewal. On Microsoft licensing specifically, your firm holds its own tenant and licensing in its own name, standard licensing is priced at Microsoft’s rate with no markup, and Azure consumption is priced separately.

We serve organizations with roughly 20 to 250 employees, which covers most independent architecture practices. Size matters less than whether the firm depends on its technology enough that failures cost real money. Our offices are in Fort Lauderdale, New York, and Orlando, and we support clients in 18+ states and Puerto Rico with the same internal team.

The same internal Network Operations Center is staffed overnight and on weekends by WheelHouse IT employees, so there is no separate after-hours process and no handoff to an outside vendor. Our reported average wait to reach a live team member by phone is 52 seconds and our reported average ticket resolution time is 29.6 minutes, both measured across all clients and all hours. Those are reported averages from our own service data rather than a guaranteed response time.

Where to start

If the friction described at the top of this page sounds like a week you have already had, that is the conversation to have. Tell us what your firm runs on and where it hurts, and we will say plainly whether we are the right fit.

If you would rather see something before you talk to anyone, start with a free network risk assessment. It documents what is on your network, where the gaps are, and what we would address first. It produces findings, not a price, and you decide what to do with it.

For an example of the work in an adjacent industry, our construction case study covers a network security rebuild for a general contractor handling government project data.
